Suggestions for Ownbey Meeting of Officers and Committee Chairs

Suggestions for Ownbey Meeting of Officers and Committee Chairs Thursday February 3, 2011
(Here are ideas I have and of course implementation would require class approval of many of these suggestions)

  1. Methods of feedback including class meeting
    1. Use a Suggestion Box
    2. This (asking for suggestions) is a great start, thanks, as is the Officers and Committee Chair Meeting  2/3 to review what folks are doing , etc.
    3. Meeting of old and new officers and chairs at start of year.
    4. Class meetings
    5. Surveys
    6. President  Talks as per James Howell did when he came here before classes
    7. Questions -What do people want out of class - service efforts or not, fellowship or not, socials, Bible Study
    8. Feedback during year by folks on Church Wide  Committees so we understand what is going on at MPUMC. such as:
      Strategic Plan, Administration Board actions, Finance  Committee decisions, the  current Sunday School  program, the Wednesday night program
    9. Get the Clipboard around to all each Sunday
    10. Weekly report to members  - email, written  or what, but also to non email members.
  2. Training
    1. Periodically Barbara has Sunday School Training session; determine if done now
    2. and that class knows about them  and that officers, chairs, and members are encouraged to attend.
    3. Share results of any such meeting with class.
    4. Share any Handouts or Training Manuals.
  3. Curriculum
    1. Good we all all invited to the  meetings
    2. Give us chance for feedback other ways - thanks for the 4/24/2011 survey.
    3. Let class discuss/decide, based on recommendation of the Curriculum Committee, if we want to be a part of the periodic Church wide efforts
    4. Have periodic mention and a summary prepared of the Background of the Teachers; after all these years, I still do not know some basic info on Speakers.
    5. Periodic or Quarterly  outside speakers
      1. Have James Howell lead a class  - he promised in 2003 he would drop in when I told him we were studying one of his books, but he has not..
      2. Other names of interest would be Loy Witherspoon, Mark Edwards, Melvin McIntosh, Danny Watts, etc
      3. Invite to teach children of members such who are minister/speaker as the Thompsons, Hatfields. 
      4. Also invite people who have been to war zones and mission trips
      5. Folks from South Tryon Church
    6. Offer the  class members chance to present 7 minute lessons on various subjects of interest to them and call it "member Talks" or something similar; stick to time limit.
    7. Can we figure out how to get class to read books before lessons; at least encourage it.
    8. Summarize Class Lessons for communication to folks not present
    9. Each Teacher-on book taught, prepare a book review (they are  brief, according to practice here and the guidelines) for the Library Web Site . With all the teachers' hours of preparation already, perhaps it would take only a few minutes to do.
    10. One of the benefits of this class is the exposure to so many books and thoughts over the years, and we should  emphasize that  in discussing with others and publicity.and in flyers about the class.
    11. Prepare a list of the books we have studied
    12. Teachers should be present as often as possible when others teaching, especially if the same Book
    13. Encourage families of members to come to class when in town
    14. All Teachers  and speakers should use the mikes or  no teachers use them as the switching back and forth does not work well.
    15. Teachers should use some books on the Reading list for the Methodist Women 
    16. Plan and distribute Lesson Schedule well in advance of  Quarter, such as by middle of previous quarter. 
    17. Following items new to this list prompted by the 4/24/2011 Survey: 
    18. Continue single session topics AND multiple sessions topics.
    19. Multi part session  of up to 3 to 5  classes unless is a larger planned church wide program.
    20. Plan in sequence instead of skipping to other subject In multiple session topic, especially if a book,
    21. Teachers later to participate in Multi session topic present for previous lessons
    22. Use Adult Bible Series more periodically for a multi part session 
    23. Recognize Teachers by a special dinner.
    24. Get a picture of all teachers annually.
    25. Publicize our classes in  various church publications as others do. 
    26. Add Audio Visuals (TV, DVD/VHS Player)  and curtains to room to make it easier to use  media.
    27. Handouts by teachers such as outline and notes  often would be helpful
    28. Class on other denominations such as Baptist, Episcopalians, Mormons,etc.,  and even a class on Masons.
  4. Membership
    1. Some way find out why some class members have quit coming. Use one on one, assign members to check, survey written or telephone. Is it parking, teachers, conflicting services, lack of interest,  room location.
    2. Find out why folks want to stay on list if not  going to come to class or functions much.
    3. Have a chairman, perhaps the Class VP or Secretary  if not enough volunteers for all jobs.
    4. New members are important, but we have a lot of class members who do not come. Concentrate on making sure they know we need them.
    5. Formal followup on people missing.
    6. Have a buddy system to stay in touch with other class members
    7. Study folks who have hard time getting here and have system set up similar to ones for Betty and William.
    8. Formal followup with visitors - who is writing them  letters and saying glad they came , etc
    9. Have a welcoming member each Sunday
    10. Attention to attendance report and roll to notice quickly folks missing .
    11. attend new member meetings, decide how to use that as a way to meet potential  members
    12. Have more formal various goodies on Sundays
    13. Encourage name tag use; hand print ones for visitors as soon as they appear
    14. Figure out some way we can learn more about class members. I  try but I have no idea the background of a lot of our members. Where  born,  career, interesting facts, children/grandchildren, etc
    15. When Class Members move away, have the "Going Away" Service.
  5. Communication about Ownbey
    1. Include info about  (some of) our lessons in Church Bulletins and MPUMC Web Page as other classes do, especially the young and new classes
    2. Blog and Web Site up to date
    3. Or newsletter to reach all including non email folks, or
    4. Be sure the Calling Committee is in effect. or . .
    5. Buddy system to match folks with emails to those without to keep them informed (see #4,4 above)
    6. Decide if we want to re activate and update  the "Extended Family" list we once had. We stayed in touch with birthday cards, etc
  6. Family of class Members
    1. Encourage info on Bulletin Boards about Family , friends, grandchildren.
    2. Prepare Family sheets
    3. On class, and a $buck or so for our Treasury for bragging rights each time.
    4. Encourage family visitor attendance at class, especially if from out of town
  7. Birthdays
    1. Mention on Class
    2. Continue to Send  Birthday Cards . . .
  8. Anniversaries
    1. Recognize
  9. Happiness Bragging Opportunities such as birth of grandchildren,
    1. On class, and say a $buck for our Treasury for bragging rights each time
    2. Anniversaries
    3. Blog or Web
  10. Relationship with Other SS Classes
    1. Meet with other classes at times
    2. meet with next door (Genesis) classes at times as we once did
    3. Invite members of Genesis to visit us when they call off their classes
  11. Info from Church - have someone responsible for  communication about some of these areas
    1. feedback to Class about such things as the Administrative Board actions and decisions, especially if members are on  such committees or Boards
    2. What is Adults Plus doing
    3. Retreats for Women
    4. Methodist Men and the New Mens' Group
    5. Budget. etc
    6. Disciple Classes and other Classes
    7. What are the Methodist Women and the  Circles doing 
    8. Mission Trips
  12. Class Actions
    1. Maintain records of Class decisions
    2. Make some organized use of the Library
    3. Book Club
    4. Encourage members to present 2/4 minute Book Reviews of books on religion or class lessons.
    5. Update Roster and Handbook. and pictures of members
    6. Consider Guidelines when there is a funeral for Class Members
      1. Notification to members,
      2. email and phone,
      3. Where do we sit,
      4. food,contacts,
      5. Ushers,
      6. help how?
    7. Keep in mind our 60th  Anniversary is coming up in 2013; we missed the 55th.
    8. Just for variety, rearrange class room every now and then
    9. Add at least the Christian Flag to our room, I offered to pay for it and a U.S. Flag. I was pushing for this last summer until the previous administration leader asked me not to discuss the US Flag and Christian Flag on class as was too dicey so I dropped it. Someone even objected to the Christian flag but that I can't understand. I wouldn't mind a Methodist (flame) flag either.
    10. Be sure Markers work, Keep Room neat
    11. Use Maps more
    12. Work on  class room ambiance  - inviting and worshipful .
      1. Not sure what to do but someone is a better interior designer than I could figure it out
      2. add Draperies to our Class Room,
        1. figure cost, get estimates, get  (anonymous perhaps) contributions, do it - much like we did the Audio System.
        2. This would help the ambiance as well as make use of overheads and videos clearer
    13. Install permanent DVD player (including TV monitor) so can easily use Videos - some classes have them
      1. Many classes have them, why do we not?
      2. add Draperies to our Class Room to make use of DVD's and slides and overheads easier
    14. Support Disciple Classes, etc.
    15. Encourage class participation in Church Wide efforts and Committees, with feedback to the class
  13. Work on some continuity plan for officers and chairs.
      1. use Officer jobs to train and  make sure of continuity of our goals
        1. Secretary could be the Chair of the Membership Committee
        2. VP , the Social Chairman and next President.
        3. Retiring President, the Nominating Committee Chair
  14. Music
    1. Get Cokesbury Hymnal ($10)  and use occasionally.
    2. Also consider the new addition to the Methodist Hymnal 
    3. Sing different verses than 1 and 3, how about 1 and 2 sometime.
  15. Social/Fun
    1. Great start this year, thanks to  Durward
    2. Bring family members, Grand kids, guests, fFriends
    3. Lake Junaluska Retreat?, US Water Park?, other destinations as the Wesley Class does
    4. Parties!
      1. Bring back the Christmas Party/4th of July one, etc
    5. Decide alternative for the Christmas Breakfast, in case needed!
    6. Eat together after Church at Queens, MP Country Club, and other places. Durward's idea is a good one, having meal in Jubilee Hall after Church
    7. Combine with Adults Plus!
    8. Encourage attendance at Hot Wednesdays as a way to get to know other MPUMC people. At times, eat together as Ownbey Class.
  16. Memorials
    1. Thanks to Carol D and Tom, we made a great start this year in encouraging people to give through Helping Hands
      1. Only a few people gave in last couple of years, and again we have made a good start emphasizing that more might give
      2. Publicity in Church Communications occasionally
    2. Catch up on the dedication of class Hymnals. When a member passes away, we are supposed to dedicate one of our hymnals in their honor and transfer funds as a memorial.
    3. Do we want  to create an Endowment as other classes do.
  17. Helping Hands All new as not on original list
    1. We have a good program and these ideas are some thinking to  continue and build on that tradition.
    2. Ask the Class for suggestions such as these.
    3. See what other SS Classes do and if they have guidelines
    4. We should highlight what we have done already by updating the Web Site. I guess few folks go to the Web Site but talking about 2010 is a little out of date without any 2011, as it is now.
      1. I imagine if Reatha received an email she would gladly cut and paste it there quickly, perhaps add pictures if someone has them.
      2. Carol Douglas was following up on this.
    5. Emphasize the need to give to Helping Hands. We have money because of some matching done a year or so ago, but  giving to HH should be more regular and class wide. 
    6. Emphasize ways to give to HH. Stocks of course and Matching funds perhaps if the purpose can be determined not to be religious. Would have to work with Church Office for this determination and they are not too inclined to help with this. Mention putting in wills.
    7. Make it clear(er) how to make check when contributing. It is ridiculous the church cannot or does not want to handle checks made to MPUMC and an account for us on their books which means it gets on the  church reporting system. Make it clear whether checks are to be made to MPUMC or to Ownbey S....  Reminds me of the time the church  complained about matching funds as they "wished matching funds had never started" or something to that effect
    8. Have Forms easily available  in Class Rooms and on on the Ownbey Official Web Site, perhaps on Bulletin Board, or on table but the table organization is destroyed each week. 
    9. We should emphasize can get forms on line, though I find
      that is hard for Ownbey people to use the web to get. I have a lot of information on the
      Blog about the mechanics of Helping Hands and the standards plus the
      forms and procedures but again few folks use the Blog. 
    10. I do not have info on what we have done overall - other than copies of most of the
      applications but no summary - as I do not have easy access to the details but we need to summarize  in text form for use in Web and other publications.
    11. Good we have the info on the Bulletin Board as Carol Douglas suggested and would be even better if we had the names of people we have :honored" by contributions and in memorials.
    12. Bragging about "So and so  graduated phi beta Kappa from Podunk U" should "cost" the proud ancestor $$$ for Helping Hands. Minimum of $2 or $5.
    13. Our Guidelines suggest "The Committee will present a finacial and status report to the class twice a year." I think it should be more often, at least quarterly. in a basic income and outgo format with some details.
    14. Prepare a brochure with info about Helping Hands with its purpose, type of distributions, income and photos. Maybe a form or at least links to web pages.
    15. In various places on the Blog I have mentioned the people being "honored"
      for the Southminster computer classes, the go to the Blog and earn money ,
      or the the Say the books of the Bible efforts but they are not summarized
      anywhere together. 
    16. Info in the various publication Cornerstone, and MPUMC Web site.Include in writeup of the class for Barbara (where does that stand by the way)
    17. Committee Identify  areas we want to give to such as the Library, Mission Trips, South Tryon
    18. Redo the Guidelines to make it clearer what  purposes our gifts are to address; I felt fortunate in what we have now as it was hard to get anything written down in 2003 when we started the program. See what other classes have and what the MPUMC Guidelines are.  My personal guideline has been that some Ownbey member should be active in whatever cause we are helping and maybe that  is not the best standard.
    19. I have no problem with the forms we use, but let's at least consider  how to simplify; I have no suggestion but then I have used them often and am familiar with them. They are designed based on a form at the church. (We do need a spot for telephone numbers for the giver and receiver)
    20. Designate at least one day a year for Helping Hands, maybe half the class along with some other similar subject
    21. Use a new  "Ownbey Matching Funds " concept, When we give funds, we ask the class members to match the gift.
    22. Develop a  "Project" to raise money for Helping Hands. That would have the benefit of generating publicity and in turn more requests and money income and would be a reason to be mentioned in Church publications.
    23. We are supposed to dedicate a hymnal and make a contribution as a memorial upon the death of a member. We have forgotten to do this  in the last few years. Keep this in mind going forward. The procedure in the past was to transfer funds from the regular account to the Project Account, now the Helping Hands fund.
    24. We need to check with the church to be sure there are not auditing issues with what we do. I have asked Joanne already about this.
    25. The Guidelines say the purpose of the activity is "to identify and or investigate service opportunities that could warrant financial or time and talent participation of the class. Notice "time and talent"  not just $$$$.Is that something we need to pursue?

    1. See if class wants to take on new service activities
    2. What can we do about race relations as a class
    3. Continue/emphasize Helping hands Habitat Room in the Inn South Tryon Mission Trips . .
    4. A project to raise money for Helping Hands and or other causes
    5. Actively support the Youth and have more contact with them.
      1. A joint lesson, invite to our class
      2. Christmas Tree sales
      3. other Projects
      4. Boy Scouts - they seldom are mentioned
    6. With the Library so close by, is there a way we can have a bigger part in  it
      1. I say this knowing many class members are active - Carol D, Linda, Nancy S, Wilma, others -
      2. support them and the Library.
      3. Ownbey Teachers-prepare a formal (they are very brief, according to practice here and the guidelines) book review for  the Library Web  Site on  books used in Ownbey Lessons.

We have a great group of teachers who have been diligent through the years in presenting many outstanding classes. I am thankful for the time they have spent, the variety of books and authors I would not have known otherwise, and their dedication.

Do you Prefer single-session Topics? or Topics that take multiple Sessions to complete?
  1. Continue single session topics AND multiple sessions topics.
  2. Multi part session  of up to 3 to 5  classes unless is a larger planned church wide program.
  3. Plan in sequence instead of skipping to other subject In multiple session topic, especially if a book,

Attendance

Hi Folks (Officers and Chairs)

Ownbey Final Attendance Report 1997  through  4/24/2011

In Short:
As you may know I have been keeping detailed Ownbey attendance totals since 1997 and I find it is time to end that effort. A Final Set is on line (Click Here) and attached and eventually in the postal mail to you. Please feel to let me have any final corrections, and I will  make them.

One of the main reasons I did these reports  was to have information for follow up - especially by officers, friends, or  a designated person - with members who slip through the cracks and  stop attending. Also to let the missing know we are thinking of them. I am sure you heard my story when I was going through  my divorce  around 1976 when I missed a lot and no one checked in with me, except Sydnor Thomson who got me back. That prompted me  to try not to let it happen to others.  A related purpose was tracking the class progress in numbers through the years. We know class assignments are based on attendance figures, as the Fellowship Class found this year.

The church office can provide us with an Attendance Roll now called a Marking Sheet, a Directory, and Roster Information better and more efficiently than I can do it (Click here for that info). Realizing that, I am going to pass on reformatting into Excel sheets and think this is a good time to stop.

Hi folks.

In Short:
I would like to share a change in how we have been doing our Roster, Roll, and Class Directory. I have been doing  an Attendance Roll Sheet, Roster, and Directory  by using  data from the members and Church Office. At times I printed copies  and recently I formatted it to put much on the Internet (with a password). I have done this for 16 years and, with the wonders of current technology, realize that the Church Office is set up to do preparation for our use of the info better and more efficiently.

Christine Mull  has provided copies of the  "Official" records of  Ownbey Membership in a format we can use to replace the work I have been doing.  As you probably know, Christine is Barbara Barden's right hand . .  and has been a joy for me to work with through the years. Thanks Christine.

Attached (to the original of this email) is the info from Christine. You may also see it at some links below if you are online. It is in PDF and XLS (Excel) form. It also is on line and I am sending to you by postal mail. It also will be on our Blog as one of the 10 menu items at the top-when I get to it but that might be a few days.Christine can do a "Marking Sheet"  for our roll and also prepare an address list. I suggest going forward we use these church staff services for the roll/marking sheet, directory,  and  roster. This means that the officers/Secretary, or a committee chair such as of Membership, etc.,  will need to coordinate with Christine's office to be sure the official Church records are in agreement with ours. I notice for example the Baxters still are listed as members with a Durham address and a Isabel Shaukla is listed. Also Emily's email address is missing. I have not checked these out this time.

I am glad to any questions  through any adjustment period, but now is the time for me to bow out after 16 years.

I will deliver  the new Marking Sheet  to our Secretary Sunday for use beginning May 1. I spoke with Jack and he was ok with the change. I discussed with Emily, rather left a message on her answering machine and to call me if any questions.

I mentioned to  Christine that our Secretary, President, or someone else would contact her and be working with her on this going forward.

I believe this is everything you requested. The marking sheet is a preset template which only allows limited changes, basically whether the report is prepared weekly, monthly or quarterly and your start and end dates – I believe.
I’m “catching up” this week, but I wanted to get this to you as soon as I could. Hope you had a wonderful Easter!
